Information and advice about delivery

This section deals with leasing a vehicle through Staffcars.  It is a different process for buying the vehicle outright and you will be advised of this process should you wish to go down this route.

Contract Hire through Staffcars

So you have decided to lease a vehicle through Staffcars.  What now?  Here is some useful information, tips and advice to read before your car arrives.  If you feel that we need to add anything else to this section please feel free to let us know.  We want to make the process as easy as possible and would love to hear from you if you think we have missed anything you feel is important.

I have filled in the proposal form what now?

Once you have decided which vehicle you want we ask you to fill out a proposal form and whether you have gone through the on-line process or downloaded the pdf and faxed it back you will be at the same point.  The proposal form collects information about you and once we have the information it is sent to the leasing company we are using so they can run a check on you.  The reason why this is done is to make sure that you can to afford the vehicle.

For individual customers you will need to send in some documents to support your application.  It may be a recent utility bill (water, electric or gas), a bank statement to prove your address and you will always need a copy of your full UK Driving Licence or passport.  These documents are requested to prevent identity fraud and we will advise you during the process which documents we need to see.  We have a section in the Customer Area where you can upload the documents to our secure server.  All you would need to do is scan the documents into your computer and use our system to find and upload them.  It saves you the hassle of faxing them where your details could be intercepted and remember that e-mail is not secure.

For business customers, we need a copy of your P&L and balance sheet to accompany your application and possibly other documentation.  You will be advised which documents are required during the process.

Once we have your proposal and any additional documents that may be required we wait for finance approval.

Ordering the car

Once we have finance approval we will call you and e-mail or fax you an order form.  It is important to mention at this stage that a SIGNED ORDER FORM commits you to ordering the car.  Check it, sign it and send it back to us.  You can either fax it back, scan it and e-mail it back or scan it and upload it to our secure vault where we can access it.  We will then order the car, confirm to you that it has been ordered and also confirm the lead time.

The Finance Documentation

Once the car has been ordered we will send you some finance documents.  Usually we will post these to you although we can upload them to your page on the Secure Customer area where you can pick them up and print them off.  Either way once you have printed copies in front of you you will need to complete the forms, sign and return them to us here at Staffcars by post together with your initial payment.  This can be in the form of cheque or if you prefer we can arrange a BACS transfer if it is easier.

Insure your vehicle

It is important that you insure your vehicle because insurance is not included in the price.  Remember if you have a car allowance and you are using your car for business purposes, you will need Business Cover.  Normal car insurance will not suffice and both you and your employer could be in trouble if you have an accident whilst on business and you don't have the correct cover.  Staffcars can recommend an excellent insurance supplier who not only give you full 65% no claims bonus automatically, they give you Business Cover (Class 1, 2 and 3) at no extra cost and allow you to fix the premium for up to 3 years (terms and conditions apply).  If you want to get a quote just click here to take you through to the quoting engine - and don't worry about time because it will only take about 60 seconds to get a quote!

Delivery of the vehicle

Delivery is included in the price so you will not be asked to pay anything on delivery.  Vehicles can be delivered anywhere in the UK to your home or work address - whichever is most convenient.  On delivery you will be shown around the vehicle as you would if you had bought it from a dealer to make sure you know where everything is.  Your vehicle may either be delivered on a transporter or driven to you depending on the distance from the dealer providing the vehicle to your location.  This means that it may delivery mileage on the clock when you receive it but if this is a problem we can make sure the vehicle is delivered on a transporter.  It is important to bear in mind however that there may be an additional cost which we can build into your monthly payment.

We ask that you CHECK THE MILEAGE on the vehicle and make sure the mileage is written on the delivery sheet and keep your copy.  At the end of the contract you will then be able to subtract the delivery mileage from an excess mileage that you may have incurred (extra miles over your contract amount).  If you have a copy of the signed delivery note it will make this process easier.

Peace of mind

You car will come with road tax for the life of the agreement, full UK manufacturer's warranty and breakdown cover with either the RAC or AA so if anything goes wrong you are fully covered.

Enjoy your car!

Returning your car

We are currently compiling a new PDF document giving advice on returning your car at the end of the agreement.  This is due for release in June and you will be able to download it from our website.  It is important to have this information because if you don't look after it you may be liable to pay some additional charges.  Staffcars don't want this to happen and our handy guide will tell you all you need to know about avoiding these charges.
