Getting a new car through PCH / PCP

This section deals with leasing a vehicle through Staffcars.  It is a different process for buying the vehicle outright.  You can find information about this process by going back to the 'step by step guide' menu and clicking on 'buying a new car with cash.

Here is a useful guide outlining the process.

1) Choose your vehicle

We are always trying to find the best deals around and negotiating with our suppliers.  All the best deals are placed on our website so that you know these represent the best value for money or most readily available vehicles.  If you can't see what you are looking for or have something specific in mind you can fill in our form to request a quotation or simply give us a call.  Please bear in mind that we won't be able to get back to you straight away because we need to go out and find the best deal on the vehicle you are enquiring about.  These deals change all the time depending on stock levels, how much discount the manufacturer or dealer is willing to pass on and a number of other factors so we often don't have prices to hand.  Please bear with us - it will be worth it!

2) Fill in our on-line proposal / paper proposal and send it back to us

Once you have decided which vehicle you want we ask you to fill out a proposal form and whether you have gone through the on-line process or downloaded the pdf and faxed it back you will be at the same point.  The proposal form collects information about you and once we have the information it is sent to the leasing / finance company we are using so they can run a check on you.  The reason why this is done is to make sure that you can to afford the vehicle.

For individual customers you will need to send in some documents to support your application.  It may be a recent utility bill (water, electric or gas), a bank statement to prove your address and you will always need a copy of your full UK Driving Licence or passport.  These documents are requested to prevent identity fraud and we will advise you during the process which documents we need to see.  We have a section in the Customer Area where you can upload the documents to our secure server.  All you would need to do is scan the documents into your computer and use our system to find and upload them.  It saves you the hassle of faxing them where your details could be intercepted and remember that e-mail is not secure.

For business customers, we need a copy of your P&L and balance sheet to accompany your application and possibly other documentation.  You will be advised which documents are required during the process.

3) Wait for approval on your finance

Once we have your proposal and any additional documents that may be required we wait for finance approval.  If your finance is not approved it is not the end of the line.  We can look at a number of options like increasing the initial payment (deposit), choosing a cheaper vehicle or sometimes submitting your proposal to a different leasing / finance company.  You will be advised of your options if the situation should arise.

Once we get approval to proceed with the finance we can then start the process of ordering the car.

4) Sign and return the order form

Once we have finance approval we will call you and e-mail or fax you an order form.  It is important to mention at this stage that a SIGNED ORDER FORM commits you to ordering the car.  Check it, sign it and send it back to us.  You can either fax it back, scan it and e-mail it back or scan it and upload it to our secure vault where we can access it.  We will then order the car, confirm to you that it has been ordered and also confirm the lead time.

5) Sign the finance documents and send them back to us

Once your vehicle has been ordered we will send you some finance documents.  Usually we will post these to you although we can upload them to your page on the Secure Customer area where you can pick them up and print them off.  Either way once you have printed copies in front of you you will need to complete the forms, sign and return them to us here at Staffcars by post together with your initial payment.  This can be in the form of cheque or if you prefer we can arrange a BACS transfer if it is easier.

6) Wait for delivery of your vehicle

We will be able give you a ballpark date for delivery of your vehicle once it has been ordered and will give you a firm date nearer the time.  You can check the progress of your vehicle by logging into your account on the Staffcars website but we will keep you updated via phone / e-mail should there be any problems or if the delivery is brought forward significantly.

It is worth mentioning that at the moment most manufacturers are selling their surplus stock and not making much more.  Production of cars and vans is down 50% on last year which means that we will probably be in a position soon where many cars will be on a long lead time.  We will keep customers udated on the situation via our newsletter and news section on our website.

7) Delivery of your vehicle

Delivery is included in the price so you will not be asked to pay anything on delivery.  Vehicles can be delivered anywhere in the UK to your home or work address - whichever is most convenient.  On delivery you will be shown around the vehicle as you would if you had bought it from a dealer to make sure you know where everything is.  Your vehicle may either be delivered on a transporter or driven to you depending on the distance between the supplying dealer and your location.  This means that it may delivery mileage on the clock when you receive it but if this is a problem we can make sure the vehicle is delivered on a transporter.  It is important to bear in mind however that there may be an additional cost which we can build into your monthly payment.

We ask that you CHECK THE MILEAGE on the vehicle and make sure the mileage is written on the delivery sheet and keep your copy.  At the end of the contract you will then be able to subtract the delivery mileage from an excess mileage that you may have incurred (extra miles over your contract amount).  If you have a copy of the signed delivery note it will make this process easier.

8) Other things to consider

a) Insurance

It is important that you insure your vehicle because insurance is not included in the price.  Remember if you have a car allowance and you are using your car for business purposes, you will need Business Cover.  Normal car insurance will not suffice and both you and your employer could be in trouble if you have an accident whilst on business and you don't have the correct cover.  Staffcars can recommend an excellent insurance supplier who not only give you full 65% no claims bonus automatically, they give you Business Cover (Class 1, 2 and 3) at no extra cost and allow you to fix the premium for up to 3 years (terms and conditions apply).  If you want to get a quote just click on the link below to take you through to the quoting engine - and don't worry about it taking up all your time because it will only take about 60 seconds to get a quote!

b) Maintenance

Your car will come with road tax for the life of the agreement, full UK manufacturer's warranty and breakdown cover with either the RAC or AA so if anything goes wrong you are fully covered.  Staffcars offer the option of including servicing and maintenance within your monthly payment.  This means that you do not pay for any costs you may normally incur such as servicing, parts, labour, etc.  Even things like wiper blades and bulbs are included although your windscreen would not be covered or accidental damage.  The package covers wear and tear only.  You will need to maintain the car however and will need to use official parts for your vehicle otherwise you risk invalidating your warranty.

Enjoy your car!

Returning your car

We are currently compiling a new PDF document giving advice on returning your car at the end of the agreement.  This is due for release in June and you will be able to download it from our website.  It is important to have this information because if you don't look after it you may be liable to pay some additional charges.  Staffcars don't want this to happen and our handy guide will tell you all you need to know about avoiding these charges.
